Terms of Service

Last updated July 26, 2026

These terms are the agreement between you and Worktime for use of the service. By creating an account or using the service you accept them. If you accept on behalf of a business, you confirm you are authorized to bind that business.

The service

Worktime provides employee scheduling, availability and time-off management, a time clock, timesheets, and reporting. We may change or improve features over time; we will not materially reduce a feature your paid plan depends on without notice to organization owners.

Accounts and acceptable use

You are responsible for the accuracy of your account details, for keeping credentials secure, and for activity under your account. Do not use the service unlawfully, attempt to access another organization's data, disrupt the service, or resell it without our agreement. You are responsible for having a lawful basis to enter your employees' personal data and for telling them how their data is used.

Free trial and demo

New signups receive a time-limited demo of the highest tier at no cost and without a payment method. When the demo ends the organization moves to the Free plan automatically unless you choose a paid plan. Nothing is charged unless you add a payment method and select a plan. Your data is retained when you move to Free — plan limits change what is visible and which features are available, not what is stored.

Plans, billing, and cancellation

  • Paid plans are billed in advance, monthly or yearly, and renew automatically until cancelled. Payments are processed by Stripe.
  • You can cancel at any time from the billing page. Your plan stays active until the end of the period you already paid for; we do not provide pro-rated refunds for partial periods.
  • Text messages are a separate prepaid add-on. Credit is purchased up front, is consumed as messages are sent, and is non-refundable and non-transferable once purchased.
  • We may change prices with at least 30 days' notice to organization owners; changes take effect at your next renewal.
  • If a payment fails we may suspend paid features after a grace period.

Your data

You keep all rights to the data you enter. We use it only to provide the service, as described in the Privacy Policy. You can export your data while your account is active, and deleting your organization permanently deletes it.

Payroll and labor law — important

Worktime helps you record and calculate hours, but computed hours, overtime, rounding, and exports are provided for your review as preparation only. You remain responsible for verifying accuracy before paying anyone and for complying with all applicable wage, hour, scheduling, and record-keeping laws in your jurisdiction. Worktime is not a payroll provider and does not give legal or tax advice.

Availability

We work to keep the service available but do not promise uninterrupted operation. Maintenance, third-party outages, and factors outside our control can interrupt it.

Suspension and termination

You may stop using the service and delete your organization at any time. We may suspend or terminate an account that breaches these terms or creates risk for the service or other customers; where practical we will give notice and an opportunity to fix the issue.

Warranties and liability

The service is provided “as is” without warranties of any kind, to the fullest extent permitted by law. To the extent permitted by law, neither party is liable for indirect or consequential losses, and our total liability is limited to the amount you paid for the service in the twelve months before the claim. Nothing here excludes liability that cannot lawfully be excluded.

Changes to these terms

We may update these terms; the date above shows the current version. Material changes will be emailed to organization owners before taking effect, and continued use afterwards means you accept them.
